Gaming Cafe Billing Software That Runs on Server Time — Not Paper
Rez Game is a cloud-based billing and session management desk for gaming cafes, PS5 lounges, Xbox stations and VR bays. Instead of tracking start times on paper or a basic phone timer, every session runs on a server-synced countdown. You get accurate time billing, automatic multi-player rate calculation, snack POS combined into a single bill, and GST invoices — all from any browser, without installing anything on your gaming PCs.
Why Manual Billing Costs Gaming Cafes Real Money
Most gaming cafe owners start with a notebook, a phone stopwatch, and mental math. That works for one or two stations on a quiet afternoon. It breaks down fast on a Friday evening when six stations start within ten minutes of each other.
Missed minutes add up
Forgetting the exact start time by 5–10 minutes per session, across 8 machines a day, translates to real lost revenue every week.
PS5 player count errors
Charging 1-player rate when 3 friends are sharing a console is easy to miss at a busy counter. A multiplier rule prevents it automatically.
Forgotten snack tabs
Energy drinks and Maggi ordered mid-session often get missed on the final bill when tracked on a separate register or notebook.
No end-of-day audit trail
Without a digital record, disputes with staff over cash shortfalls have no reference point. You are essentially trusting memory.
Billing software solves all of this — but only if it handles the specific realities of a gaming cafe: variable player counts on consoles, snack charges mid-session, GST requirements, and peak/off-peak rates that change by day or time.
How Billing Works in Rez Game, Step by Step
Here is the actual workflow your counter staff will follow from the moment a customer walks in to the moment they pay and leave.
- 1
Customer walks in and selects a station
The attendant opens the Live Ops desk from any browser — the reception PC, a tablet or even a phone. All configured stations are visible in a grid. Vacant stations show in green.
- 2
Choose hourly or duration pack
The attendant selects the station, picks the pricing mode — open-ended hourly billing or a fixed duration pack such as 1 hour, 90 minutes or 3 hours — and enters the player count if it is a console session.
- 3
Session starts on a server clock
The moment Start is clicked, the server records the exact UTC timestamp. The countdown appears on the desk and is completely independent of the local browser or internet connection quality.
- 4
Add snacks or drinks during the session
If the customer orders a Red Bull or Maggi mid-game, the attendant clicks Add Item on that station card and selects from the store catalog. The item is appended to the station's running tab immediately.
- 5
Extend the session if needed
A customer wants another 30 minutes? The attendant clicks Extend and selects the additional time. The timer updates instantly and the invoice reflects the full duration.
- 6
End session and generate the bill
Clicking End & Pay stops the clock and generates a single itemised receipt showing gaming time, player count, snack orders and applicable GST — all on one bill. Payment can be recorded as cash, UPI or split between both.
Billing Features Built for Gaming Cafes Specifically
Generic POS software is built for retail shops. Rez Game is built around the billing realities of gaming stations — variable session lengths, multi-player consoles, and real-time occupancy.
Server-synced session timers
Timers run on cloud UTC timestamps. If the browser closes, the power goes out, or the WiFi drops for a few minutes, reopening the desk shows the exact remaining time — down to the second. No session data is lost.
Multi-player console pricing
Configure different rates for 1-player, 2-player and 4-player console sessions. The desk calculates the correct amount automatically when the attendant selects the player count — no mental math, no mistakes on busy weekends.
Flexible duration packs and peak pricing
Set up time packs such as 1 hour, 2 hours or a Night Owl package. Configure peak tariffs for Friday evening to Sunday night so the desk applies the right rate automatically without the attendant having to remember.
Integrated snack and store POS
Add drinks, snacks or accessories to any running session tab. At checkout, gaming time and store purchases appear on one itemised bill — no need for a separate register or handwritten note.
Smart GST billing
Switch GST on or off with one click. Supports inclusive pricing (so ₹100/hr stays ₹100 — tax is calculated behind the scenes) and exclusive pricing. SAC 9996 for gaming and SAC 9963 for food are pre-configured. Export GSTR-ready CSV for your CA.
Revenue reports and CSV export
At the end of each day or month, view a breakdown of session revenue, store revenue and total collections. Export as CSV for accounting or for filing GST returns. Your data is always yours — downloadable anytime.
A Real Saturday Evening at a Gaming Lounge
Here is what a typical busy-night session looks like when managed through Rez Game's billing desk.
It is 7:30 PM on a Saturday. The lounge has 10 stations — 6 gaming PCs and 4 PS5 booths. Eight of them are occupied simultaneously.
// Live Ops Desk — Station Overview
PC-01 — Arjun · 90 min pack · 01:12:44 remaining
PC-02 — Walk-in · Hourly · 00:48:10 remaining
PS5-01 — 2 Players (FIFA) · ₹160/hr · 00:22:05 remaining · Red Bull ×2 added
PS5-02 — 4 Players (Tekken 8) · ₹240/hr · 00:53:41 remaining
PC-03 — Idle
At 7:52 PM, PS5-01 is about to end. The desk shows a low-time alert. The attendant asks the two players if they want to extend. They do — 30 more minutes added with one click. The timer updates. No confusion about when the original session started.
At 8:10 PM, PC-02 ends. The attendant clicks End & Pay. The bill shows: 60 minutes at the weekday rate plus one Maggi that was added earlier. The customer pays by UPI. The attendant records the payment and closes the session. The station turns grey — immediately available for the next walk-in.
At 9:00 PM, the shift changes. The outgoing attendant's session summary shows total sessions handled, total cash and UPI collected, and any open tabs — so handover takes under two minutes.

Staff Accounts — So Your Attendants Can Bill, Not Tamper
On Growth and Pro plans, you can create separate staff logins with restricted access. Attendants can start and stop sessions, add snacks, and record payments — but they cannot change hourly rates, view total revenue, or access owner settings. The shift summary shows exactly what each staff member handled during their hours.
GST Billing — On, Off, or Selective
If your cafe is GST-registered and has turnover above ₹20 lakhs, Rez Game can generate fully compliant tax invoices with SAC 9996 for gaming sessions and SAC 9963 for food and beverages. If you are below the threshold or on the composition scheme, simply leave GST switched off — the software continues to work normally without adding tax clutter to customer bills.
Frequently Asked Questions About Gaming Cafe Billing
How does Rez Game handle billing for 2-player and 4-player PS5 sessions?
You set up per-player pricing rules in advance — for example ₹100/hr for 1 player and ₹160/hr for 2 players. When a session starts, the attendant selects the player count and the correct rate applies automatically. No manual calculation needed.
What happens to a running session if the internet cuts or the browser tab closes?
Session timers run on server-side UTC timestamps, not in the browser. If the browser closes, loses connectivity or the counter PC restarts, reopening the desk immediately shows the exact elapsed time and remaining minutes — no seconds are lost.
Can I offer fixed time packs like 1 hour, 2 hours or overnight slots?
Yes. You can create duration packs alongside open-ended hourly billing. When a customer buys a 2-hour pack, the timer counts down and the desk alerts the attendant before time runs out. The attendant can extend the session with a single click.
Can I add snacks and drinks to a running gaming session and combine them into one bill?
Yes. The built-in store POS lets you add items like energy drinks or noodles directly to an active station. At checkout, the customer receives a single invoice showing gaming time and store items combined.
Does Rez Game support GST billing for Indian gaming cafes?
Yes. You can switch GST on or off globally. Rez Game supports inclusive and exclusive pricing, pre-configured SAC 9996 codes for gaming services, SAC 9963 for food, and B2B invoice export with GSTIN capture for corporate bookings.
Is there a free plan for small gaming cafes?
Rez Game offers a Free Forever plan for up to 6 gaming stations — no credit card, no trial expiry. Paid plans unlock more stations, staff logins, ad-free desk, bookings, and CSV revenue exports.
